Insurance compliance

COI tracking and insurance compliance. Certificate of insurance compliance for subcontractors.

Brody by Buildalytic is insurance compliance and COI tracking software for general contractors and subcontractors. He requests each sub's certificate of insurance and endorsements by text, call and email, checks them against your subcontract and follows up with the broker until the sub is compliant.

Subcontractors and brokers need no paid seats or login. Their calls and texts use company allowances.

Sheet 01, the checks

Brody reads every certificate. What does it check?

Brody checks limits, additional insured, waiver of subrogation, primary and noncontributory wording, umbrella, workers comp and expirations against your subcontract, on the certificate and on the endorsement pages behind it.

01

Limits

General liability, auto, umbrella and aggregate limits, compared with the amounts your subcontract requires.

02

Additional insured

Checked on the endorsement itself, such as CG 20 10 or CG 20 37, including the parties it names, not only the box on the certificate.

03

Waiver of subrogation

Read on the endorsement page and matched to the owner, the GC and every other party your contract lists.

04

Primary and noncontributory

Confirmed in the endorsement wording, with the page and the exact language cited.

05

Umbrella and excess

Limits checked, and counted toward a lower underlying limit when your contract allows it.

06

Workers comp

Workers compensation and employer liability limits checked against the contract for the states the sub works in.

07

Expirations

Every policy date tracked, with renewal requests sent well before anything lapses.

08

Forbidden endorsements

Language your contract does not allow is flagged, even when every limit on the certificate looks right.

The evidence behind each endorsement finding
Contract requirementThe insurance requirement and the clause it comes from.
Endorsement wordingThe exact language quoted from the endorsement page.
Source pageThe page cited for each finding.
Review resultWhy an item passes or fails, with judgment calls sent to a person.
Broker follow upThe item that needs to change and the reason.

Endorsements

A certificate is one page. The endorsements behind it are where most of the work is.

Brody reads each endorsement page, quotes the exact wording and cites the page for every finding. Your team sees why an item passes or fails, and the broker sees exactly what to change.

How it works

How does Brody decide if a sub is compliant? Your contract becomes the rules.

Brody turns each requirement in your subcontract, its insurance addendum and the owner's insurance exhibit into a rule that quotes its clause. Each sub is then compliant, not compliant with the exact reason, or sent to a person.

01

Compliant

The requirement is met under the rules from your contract.

02

Not compliant

The exact reason is recorded with the wording and source page.

03

Needs a person

Judgment calls go to your team with the evidence.

Rules make the call. Each item is compliant, not compliant with the exact reason, or sent to a person. Never a percentage.

If then rules

Your contract has exceptions. Brody follows them.

Subcontracts often allow alternatives, such as an umbrella policy making up a lower underlying limit, and they often forbid certain endorsement language. Brody applies those rules the way your contract words them.

  • Alternatives and cures written as rules
  • Forbidden endorsement language flagged
  • Judgment calls sent to a person, with the evidence

Verified once

A sub’s policies are checked once. Brody reuses them on every job.

Brody keeps each subcontractor's insurance on their profile, with the source and date for every policy. A new project only adds its own requirements, so the sub is not asked for the same paperwork twice.

01

Policies on file

Policies, limits and dates stay on the sub profile.

02

New project requirements

New jobs check only what is new.

03

Changes and renewals

Rechecked when a policy changes or renews.

Follow up

How does Brody follow up with subs and brokers? From request to compliant, Brody runs the loop.

Brody requests the COI when a sub is awarded, reads it, tells the broker exactly what to fix and follows up by call, text and email from your company number until the sub is compliant.

01Request

When a sub is awarded, Brody emails and texts the sub and their broker a no login upload link, with the job requirements written in plain words.

02Read and check

Brody reads the certificate and every endorsement page, checks each rule from your contract and applies the if then alternatives it allows.

03Follow up with the broker

If anything is missing, Brody tells the broker exactly what to fix and why, then follows up by call and email until it is fixed. Each call opens with who Brody works for and that he is an AI assistant.

04Gate payment

Brody writes each sub’s compliance status to your ERP, such as Vista, so your team can hold payment until the sub is compliant.

05Renew before lapse

Renewal requests go out 60, 30 and 14 days before a policy expires, or on the schedule you set. Brody rechecks the new certificate against the same rules and tells your team if anything changed.

FAQ

Insurance compliance questions

Something else? Ask the team

What is COI tracking software for construction?

COI tracking software collects certificates of insurance from subcontractors, checks them against the insurance your contract requires and keeps them current. Brody does all three, including reading the endorsement pages and following up with brokers until each item is fixed.

How does Brody collect certificates of insurance from subs?

When a sub is awarded, Brody texts and emails the sub and their broker a no login upload link with the job's insurance requirements in plain words. He follows up by call, text and email from your company number until the certificate and endorsements arrive. Subs and brokers need no paid seats. Their calls and texts use company allowances.

Can Brody contact a sub's insurance broker directly?

Yes. Brody emails the broker the exact items to fix and why, such as a missing waiver of subrogation endorsement, then follows up by phone and email until they are fixed. Every call opens with who Brody works for and that he is an AI assistant.

When does Brody warn us about an expiring COI?

Brody requests renewals 60, 30 and 14 days before a policy expires, or on the schedule you set. Your PM or project coordinator is told if a renewal is still missing, and Brody rechecks the new certificate against the same rules.

Where are COIs stored?

Each certificate and endorsement is kept on the sub's profile in Buildalytic, with the source and date for every policy. Brody can file copies to your project folders in SharePoint or OneDrive and writes each sub's compliance status to your ERP, such as Vista.

Does a certificate of insurance prove a sub is covered?

Not on its own. An ACORD 25 certificate is for information only and does not change the policy. Additional insured, waiver of subrogation and primary and noncontributory coverage come from the endorsements, so Brody reads each endorsement page, cites the wording and checks that the certificate holder and project match the job.

Can Brody stop a sub from being scheduled with an expired COI?

Brody marks the sub not compliant in your records and tells the PM and super before the sub is due on site, so your team can hold the start or hold payment. Your team makes the final call on keeping a sub off site.
