Bid solicitation

An estimator's assistant for bid solicitation. Brody gets an answer from every sub before bid day.

Brody by Buildalytic is an estimator's assistant and voice agent for general contractors. He sends your invitation to bid and addenda, calls every invited sub under your company name, confirms who is bidding on which scopes and texts your estimator bid coverage by trade.

Brody says he is an AI assistant on every call. He never negotiates prices, levels bids or awards work.

Your estimator sets up the bid and makes the decisions. Brody does the sending, calling, logging and reporting in between.

Sheet 01, how it works

Nine steps, start to finish. How does bid solicitation with Brody work?

The estimator sets up the bid package and invite list and approves the outreach. Brody sends the invitation and addenda, calls each sub on a schedule, confirms intent by scope, logs every answer and reports bid coverage by trade until the due date.

01

The estimator sets up the bid package

Load the invitation to bid, the plans link, scope sheets, bid form, due date, walk through details and any addenda. Brody answers questions only from these documents.

02

The estimator builds the invite list

Import a CSV, a BuildingConnected or ConstructConnect export, or pick subs by trade from your company's sub list. Brody matches each row to an existing sub record instead of creating a duplicate.

03

The estimator approves the outreach

Review the invitation wording, the call script, the calling windows and the follow up dates. Nothing goes to a sub until the estimator approves it.

04

Brody sends the invitation and addenda

The invitation to bid goes out by email and text with the documents link. When a new addendum is approved, Brody sends it to every invited sub and tracks who has it.

05

Brody calls each sub on a schedule

Calls go out inside the windows you set, with branded caller ID showing your company name. Brody opens by saying he is an AI assistant calling for your company.

06

Brody confirms documents and intent

On each call he confirms the sub received the invitation, the plans and every addendum, then asks if they intend to bid and on which scopes.

07

Brody answers or routes questions

Questions the bid package covers get an answer with the document it came from. Anything else goes to the estimator, and the answer goes back to the sub by call, text or email.

08

Brody logs every answer and follows up

Intent, scopes, document status and questions land on the sub record for that bid. Follow ups go out before the due date on the schedule the estimator set.

09

The estimator gets bid coverage by trade

Brody texts or emails a coverage summary with who is bidding, who needs plans, who declined and who is unreachable, and alerts the estimator when a scope has thin coverage.

Sheet 02, on the call

Your name on the screen. What happens when Brody calls a sub?

The sub sees your company name on caller ID. Brody says he is an AI assistant calling for your company about one named bid, confirms the documents, asks about intent and scopes, answers what the bid package covers and logs the result before the call ends.

Every call follows the script the estimator approved. Brody asks four things.

  1. Did you receive the invitation, the plans and every addendum?
  2. Do you intend to bid this project?
  3. Which scopes are you pricing?
  4. Do you have any questions on the bid package?

A sub missing a document gets the link by text during the call. A sub who wants to talk to a person is transferred to the estimator or gets a callback. Price talk is always handed to the estimator.

Sheet 03, bid coverage

Coverage by trade, by text. What does the estimator get before bid day?

A coverage summary by text or email on the schedule the estimator picks, grouped by trade with who is bidding, who needs plans, who declined and who is unreachable. When a scope falls below the number of bidders the estimator set, Brody sends an alert.

Thin coverage alerts. You set the minimum bidders for each scope, and Brody tells you the moment a scope falls short.

01

Bidding

The sub confirmed the documents and said they intend to bid, with the scopes they are pricing.

02

Needs plans

The sub is missing the plans or an addendum. Brody resends the link and asks again on the next call.

03

Declined

The sub said they will not bid this project. The reason is logged when they give one.

04

Unreachable

No answer after the attempts the estimator set, by call, text and email. A good list for a personal call.

Sheet 04, who decides

Brody does the outreach. What does Brody do, and what does your estimator decide?

Brody handles invitations, calls, follow ups, logging and coverage reporting. The estimator sets up the bid, approves the outreach and makes every pricing and award decision. Brody does not negotiate prices, evaluate or level bids, award work or sign anything.

Transfers a sub who asks for a person to the estimator, or books a callback.Price negotiation, award decisions, contracts and anything that needs a signature.

Sheet 05, the details

Imports, addenda and open questions. How does Brody handle the details estimators ask about?

Brody imports the invite list without duplicates, sends every approved addendum to every invited sub, routes open questions to the estimator, works voicemails and callbacks, and raises thin coverage while there is still time to act.

01Where the invite list comes from

Start from a CSV, an export from BuildingConnected or ConstructConnect, or subs picked by trade from your company's sub list. Brody matches each row to an existing sub record by company and contact. If your team prefers to send invitations from the bid board you use today, Brody can handle only the calls, follow ups and coverage summary.

02How addenda reach every sub

The estimator adds the addendum to the bid package and approves sending it. Brody emails and texts it to every invited sub, asks on the next call whether they received it and flags anyone who has not confirmed in the coverage summary.

03Questions the bid package does not answer

Brody tells the sub he will get the answer from the estimator, logs the question on the sub record and sends it to the estimator by text or email. When the estimator replies, the answer goes back to the sub by call, text or email.

04Voicemails, callbacks and unreachable subs

Brody leaves a short voicemail with the bid name and due date, retries at the times you choose and follows up by text or email. A sub who calls your company number back reaches Brody with the full history. After the attempts you set, the sub is marked unreachable in the summary.

05Thin coverage alerts

The estimator sets the minimum number of bidders for each scope. When a scope is below that number at a checkpoint before the due date, Brody sends an alert. The estimator decides whether to invite more subs, and Brody calls the new subs once the estimator approves.

Sheet 06, calling rules

Outbound AI calls have rules. How does Brody handle consent and opt outs?

Brody says he is an AI assistant on every call, gives the recording notice each state requires, contacts only subs your list allows and stops at once when a sub opts out. AI voices count as artificial voices under the TCPA, so these rules apply to every outbound call.

01

AI disclosure

Every call opens with who Brody is calling for and that he is an AI assistant.

02

Recording notices

Recording notices follow the rules of each state, including all party consent states like California.

03

Consent on the list

Your team keeps the consent record for each contact. Outbound AI calls and texts go only to contacts your list allows.

04

Instant opt out

A sub who replies STOP or asks on a call not to be contacted again is removed at once and flagged on the sub record.

05

Registered business texting

Invitations, addenda and follow ups go from your company number, registered for business texting under A2P 10DLC.

06

Calling windows and records

Brody calls only inside the hours you set. Each call, text, opt out and consent note is logged with the date.

FAQ

What do estimators ask about bid solicitation with Brody?

Something else? Ask the team

How does Brody follow up on an invitation to bid?

After the estimator approves the outreach, Brody sends the invitation to bid by email and text, then calls each invited sub on the schedule the estimator set. On each call he confirms the sub received the invitation, plans and addenda, asks if they intend to bid and on which scopes, and logs the answer on the sub record. Follow ups go out before the due date to anyone who has not answered.

Does Brody negotiate prices, level bids or award work?

No. Brody does not negotiate prices, evaluate or level bids, award work or sign anything. He handles invitations, calls, follow ups, logging and coverage reporting. Every pricing, scope and award decision stays with your estimator.

Does the estimator approve outreach before it goes out?

Yes. The estimator reviews the invite list, the invitation wording, the call script, the calling windows and the follow up dates before anything is sent. New addenda and added subs also wait for approval. Nothing goes to a sub until the estimator says go.

What happens when a sub asks a question Brody cannot answer?

Brody answers only from the bid package the estimator loaded, and he names the document each answer came from. A question outside the bid package is logged on the sub record and sent to the estimator by text or email. The answer goes back to the sub by call, text or email once the estimator replies.

Can we import the invite list from BuildingConnected or ConstructConnect?

Yes. Upload a BuildingConnected or ConstructConnect export, a CSV from any spreadsheet, or pick subs by trade from your company's sub list. Brody matches each row to an existing sub record so you do not end up with duplicates. Teams that send invitations from their bid board can use Brody for the calls, follow ups and coverage summary only.

What does the coverage summary show, and when is a scope flagged as thin?

The summary groups every invited sub by trade and shows who is bidding, who needs plans, who declined and who is unreachable, plus open questions. The estimator sets the minimum number of bidders for each scope, and Brody sends an alert when a scope falls below it. It arrives by text or email on the schedule the estimator picks.

Will subs know they are talking to an AI, and how do opt outs work?

Yes. Brody opens every call by saying he is an AI assistant calling for your company and gives the recording notice that applies in that state. Your team keeps the consent record for each contact, and Brody contacts only subs your list allows. A sub who replies STOP to a text or asks on a call not to be contacted again is removed at once and flagged on the sub record.
